DentCare Dental Lab Private Limited ("DentCare", "we", "our" or "us") respects your privacy and is committed to protecting your personal data.
This Privacy Policy explains how DentCare Buddy ("App") collects, uses, stores, shares and safeguards the personal data you provide or that is collected while using the App. By accessing or using DentCare Buddy, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, processing and use of your personal data in accordance with this Privacy Policy and the applicable provisions of the Digital Personal Data Protection Act, 2023 ("DPDP Act") and other applicable laws.
DentCare acts as a Data Fiduciary in respect of the personal data processed through DentCare Buddy and is committed to ensuring that such personal data is processed lawfully, fairly and only for specified and legitimate business purposes.
This Privacy Policy applies only to DentCare Buddy and does not apply to any other applications, websites or services unless specifically stated.
To access DentCare Buddy, authorised users may be required to provide certain information including their name, employee ID, designation, department, official email address, mobile number and other employment-related information.
During the use of the App, DentCare Buddy may also collect customer information, dealer information, visit reports, attendance details, task updates, business activities, photographs, documents and other information entered or uploaded by the user in the course of official duties.
Where necessary for business operations, DentCare Buddy collects precise location information (GPS coordinates) from authorised users to facilitate attendance recording, customer visit verification, field activity reporting and other legitimate operational purposes. Where enabled, the App may also collect location information while running in the background to support authorised business functions, including recording attendance, customer visit check-in/check-out, automatically completing customer visits through geofencing (including automatic punch-out when an employee leaves a designated work site), and verifying that work-related activities are performed at the appropriate authorised location. Limited device information, including device model, operating system, App version, IP address and application usage logs, may also be collected to ensure the security, performance and proper functioning of the App.
Location information is collected solely for the above business purposes and is transmitted securely. Such information is retained only for as long as necessary for attendance management, payroll processing, operational record keeping and compliance with applicable legal or regulatory requirements. DentCare does not sell location information, use it for advertising or marketing purposes, or disclose it to third parties except to trusted service providers engaged for operating the App under appropriate confidentiality obligations or where disclosure is required by law.
DentCare Buddy processes personal data for the following purposes:
DentCare collects only such personal data as is necessary for the purposes specified above. Personal data shall be processed only for lawful purposes and in accordance with the principles of purpose limitation and data minimisation under the Digital Personal Data Protection Act, 2023.
Users are requested to ensure that the personal data provided through the App is accurate, complete and kept up to date and shall promptly notify DentCare of any changes, wherever applicable.
Where the App requires access to device features such as location, camera, storage, notifications or internet connectivity, such permissions shall be requested only for enabling the intended functionality of the App. Users may manage these permissions through their device settings; however, disabling certain permissions may affect the availability of specific features of the App. The App shall access only those device features that are reasonably necessary for its intended functionality and legitimate business purposes.
Where background location permission is required for attendance recording, customer visit verification or geofence-based automatic punch-out, disabling such permission may prevent these features from functioning properly.
By using DentCare Buddy and providing personal data through the App, users consent to the collection, storage and processing of such personal data for the purposes described in this Privacy Policy, where such consent is required under applicable law.
DentCare does not sell, rent or trade personal data collected through the App.

Such disclosures shall be limited to the extent necessary for the relevant purpose and appropriate safeguards shall be maintained to ensure the confidentiality and security of the personal data.
DentCare requires all third-party service providers engaged for hosting, maintenance, technical support or other services to implement appropriate confidentiality and security measures while processing personal data on its behalf.
Where personal data is transferred to or processed in jurisdictions outside India, DentCare shall ensure that such transfer is carried out in accordance with the provisions of the Digital Personal Data Protection Act, 2023 and other applicable laws, and subject to appropriate safeguards, where applicable.
DentCare is committed to protecting the confidentiality, integrity and security of the personal data collected through DentCare Buddy. Appropriate technical and organisational measures are implemented to safeguard personal data against unauthorised access, disclosure, alteration, misuse, loss or destruction.
Reasonable security practices, including access controls, authentication mechanisms, secure servers, encryption where appropriate, periodic security reviews and system monitoring, are adopted to protect the information processed through the App. Access to personal data is restricted to authorised personnel who require such access for legitimate business purposes.
While DentCare endeavours to maintain a secure environment, no method of electronic transmission or electronic storage is completely secure. Accordingly, DentCare cannot guarantee absolute security of personal data.
Users are responsible for maintaining the confidentiality of their login credentials and for immediately notifying DentCare of any suspected unauthorised access, misuse or security incident relating to their account or the App.
DentCare shall investigate and respond to any personal data breach in accordance with applicable law and its internal incident response procedures and shall comply with all applicable legal requirements relating to such incidents.
DentCare retains personal data only for as long as necessary to fulfil the purposes for which it was collected, to comply with applicable legal or regulatory obligations, to resolve disputes, to establish or defend legal claims or to protect the legitimate interests of DentCare.
Upon expiry of the applicable retention period, personal data shall be securely deleted, anonymised or otherwise disposed of in accordance with applicable laws and DentCare's internal record retention policies.
DentCare Buddy is intended solely for authorised employees, consultants and other authorised users of DentCare in connection with official business activities. The App is not intended for use by children.
DentCare does not knowingly collect personal data from children through the App. If DentCare becomes aware that personal data relating to a child has been inadvertently collected, such data shall be deleted or otherwise dealt with in accordance with applicable law.
Subject to the provisions of the Digital Personal Data Protection Act, 2023 and other applicable laws, every Data Principal shall have the following rights with respect to the personal data processed by DentCare through DentCare Buddy.
A Data Principal may request information regarding the personal data processed by DentCare, including the categories of personal data collected, the purposes for which such personal data is processed and the categories of persons or entities with whom such personal data has been shared, where applicable.
A Data Principal may request DentCare to correct inaccurate or misleading personal data, update incomplete personal data or erase personal data where such retention is no longer necessary for the purpose for which it was collected, subject to applicable legal and regulatory requirements.
Where the processing of personal data is based on consent, the Data Principal may withdraw such consent at any time in accordance with applicable law. Withdrawal of consent shall not affect the lawfulness of processing undertaken prior to such withdrawal and may affect the availability of certain features or services of the App.
If a Data Principal has any concern regarding the processing of personal data or believes that their rights under the Digital Personal Data Protection Act, 2023 have been violated, such grievance may be submitted to DentCare through the contact details provided in this Privacy Policy. DentCare shall endeavour to acknowledge and address such grievance within a reasonable period in accordance with applicable law.
A Data Principal may nominate another individual to exercise the rights available under the Digital Personal Data Protection Act, 2023 in the event of death or incapacity, in accordance with applicable law.
DentCare Buddy may contain links to third-party websites, applications or services that are provided solely for the convenience of users. Such third-party websites or services are not owned, operated or controlled by DentCare.
DentCare is not responsible for the privacy practices, content or security of such third-party websites or services. Users are advised to review the privacy policies of such third-party websites or services before providing any personal data. The inclusion of any link within the App does not imply any endorsement or recommendation by DentCare.
DentCare reserves the right to modify, amend or update this Privacy Policy from time to time to reflect changes in applicable laws, business requirements, technology or the functionality of DentCare Buddy.
Any revised Privacy Policy shall become effective upon being published within the App or through such other communication channels as DentCare may consider appropriate. Where required under applicable law, users shall be notified of material changes to this Privacy Policy.
Continued use of DentCare Buddy after such modifications shall constitute acceptance of the revised Privacy Policy.

Effective Date: This Privacy Policy shall come into effect from 15th July 2026 and shall remain in force until amended, modified or replaced by DentCare.
